Welsh Government is the data controller for key stakeholder information in the tourism sector that you provide and we will process it in line with our public task to engage with you as a tourism key stakeholder to: 

  • provide you with information
  • highlight and invite you to relevant events
  • bring to your attention business development and cross-working opportunities that may be of benefit to you
  • invite you take part in consultations, research exercise or focus groups

For specific groups, you may be invited to join separately, where activity specific controls and privacy notices will be provided.

Your information will be available (as appropriate) to wider Welsh Government staff / teams for tourism sector specific projects / activities / research / consultations / events only, and appropriate controls will be included covering usage and storage of your data.

Occasionally third parties will be given responsibility for delivering Tourism projects / activities / research / consultations / events on behalf of Welsh Government and we will provide your details for them to contact you for that purpose. 

All information you provide will be stored and, where appropriate, shared securely and used in full accordance with the UK General Data Protection Regulations (UK GDPR) and the Data Protection Act 2018. 

Welsh Government will retain and regularly review your details to keep them up to date for as long as you are a stakeholder, plus one year. If you do not wish to continue to be in this stakeholder group please email quality.tourism@gov.wales and your data will be archived.  

The Welsh Government may make changes to this privacy policy at any time. Changes will be posted here and are effective immediately. When changes occur to this policy we will advise you on the email address we have recorded to enable you to review the new version.

Under the data protection legislation you have the right:

  • To be informed of the personal data Welsh Government holds about you and to access it
  • Require us to rectify inaccuracies in that data;
  • The right (in certain circumstances) to object to or restrict processing;
  • The right (in certain circumstances) for your data to be ‘erased;

The Welsh Government is the data controller for the purpose of compliance with the UK General Data Protection Regulation (UK-GDPR).  The processing of your application is part of our public task to administer the service and will form part of our contract.

Purpose of the Processing
In order to process your application and to update internal (other Departments within Welsh Government) and external partners (Data Partners, Local Authorities, TIC Managing Agents) about your business and accreditation status, Welsh Government requires you to provide various contact and business information as detailed on the application form.  The processing of this data is necessary in order for Welsh Government to perform the following tasks.

Contact information is required so that Visit Wales can contact you to make arrangements for the quality assurance visit, send receipts, accreditation reports and certificates and to also contact you for operational reasons.

Contact information is also sent to the Visit Wales Data Stewards (Mid Wales Tourism, North Wales Tourism, New Vision Group) in order for them to contact you to populate your entry on the Visit Wales consumer website – www.visitwales.com

Recipients of the Data
Information held by Welsh Government about your business may be shared with following for the reasons outlined above:

  • Other Departments in Welsh Government
  • Data Stewards (Mid Wales Tourism, North Wales Tourism, New Vision Group) – these are organisations are contracted to provide services to Visit Wales)
  • National Tourist Organisations
  • Local Authorities
  • Wales Adventure Tourism Organisation (WATO)

Retention of Data
Welsh Government will hold personal information for grading purposes for 7 years.  

Your rights in relation to your information
You have the right to:

  • access to the personal data that we are processing about you; 
  • require us to rectify inaccuracies in that data; 
  • the right (in certain circumstances) to object to or restrict processing;
  • the right (in certain circumstances) for your data to be ‘erased’; 
  • lodge a complaint with the Information Commissioner’s Office (ICO) who is our independent regulator for data protection

Microsoft Teams meeting recordings and you: how we use your information and with whom we share it 

The Welsh Government recognises the value of ‘live’ meetings in making a positive impact on its engagement with the tourism sector stakeholders as we work towards the recovery of the visitor economy in Wales. The way businesses continue to work during the coronavirus (Covid-19) pandemic may make it difficult for everyone to attend the ‘live’ tourism industry meetings that we host via Microsoft Teams. To ensure that everyone can have access to the tourism industry sessions, we are going to record the session and make them available to view via Welsh Government’s Tourism Industry website for a limited period of time to enable those who couldn’t attend to catch up with the latest news.

The Welsh Government will be data controller for personal data in relation to the recording of industry meetings. For the purposes of the recording, we rely on the following lawful basis provisions of Article 6 of the UK General Data Protection Regulation (UK GDPR): 

  • Public Task – processing is necessary to perform a task in the public interest or for official functions and the task or function has a clear basis in law.

If you choose to take part in a live interactive session please be aware that your likeness and voice data may appear on screen and your name will be visible. If you do not wish to appear in recordings, ensure that your video and/or microphone are turned-off in the software.

Contributors should be aware that recordings are subject to the Freedom of Information Act.

Welsh Government will ensure that recordings are stored securely and will only made available via a secure link to the Visit Wales YouTube (online Privacy Notice) channel, published on the Business Wales Tourism website, the industry newsletters, and Visit Wales social media networks.  The recordings will be available to our stakeholders and the general public. The recording will be retained and available to view via the links for a period of one year from date of event before deletion from all points and sources mentioned, unless otherwise stated.
We will not share recordings wider than via the website stated unless we are required to do so by law (e.g. FOI Act).

We use Microsoft Teams for online events. Details of the MS Teams privacy notice and security policies are available at the Microsoft Trust Centre

Event Wales would like to keep you up to date about events, industry related policy, news and research via email. In order to do this it is necessary to process some personal information about you. Your personal information will be kept on a contacts database and stored with secure Welsh Government systems.

The Welsh Government will be the data controller for any personal data you provide and will process it as part of its public task in supporting and developing the events sector in Wales to:

Event Wales may share your personal information with 3rd parties but only when they are delivering services under contract for the purposes outlined in this privacy notice or if we are obliged to do so by law.

All information you provide will be stored and, where appropriate, shared securely and used in full accordance with the UK General Data Protection Regulations (UK GDPR) and the Data Protection Act 2018.

If at any time you wish for your personal information to be removed from the contacts database then please let us know by emailing Event Wales at eventwales@gov.wales.

Your information will be used and maintained kept on the database until you choose to opt out of receiving the updates by notifying us in writing.
